Begin with the application
Tell the supplier what the receiving plant will do with the fibre. Processing equipment, blend design, product appearance, strength requirements, and waste tolerance determine which characteristics need attention. A rope maker, brush manufacturer, nonwoven producer, and geotextile buyer may use different language for the same underlying requirement, so describe the process as well as the product name.
Set measurable acceptance points
- Fibre type and preferred colour or maturity where relevant.
- Length range and sorting requirement.
- Moisture condition and the test or inspection method used at receipt.
- Dust, pith, foreign matter, or other impurity tolerance.
- Bale weight, compression, binding, wrapping, and handling requirement.
- Sample approval, lot identification, and any required report or inspection process.
Do not use an isolated number without an agreed measurement method. For example, “low impurity” is a commercial phrase, while an acceptance process describes how a buyer will actually inspect it.
Inspect a representative sample
Open the sample and assess distribution, not just a small attractive portion. Look at fibre length, colour variation, pith and dust content, moisture feel, bale condition, and foreign material. If the material will be processed mechanically, run it through a realistic trial where possible. Keep sample photos and notes with the sample reference.
Connect the sample to the shipment
A sample is most useful when it becomes part of the purchase brief. Record the approved sample reference, product description, packing, quantity, destination, and inspection arrangement. If the order will ship over several lots, agree how lot identification and any quality checks will be handled before loading.
